Job Summary

This position will report to the Finance and Operation Manager of The MathWorks Benelux supporting the varied administrative, office coordination tasks and training coordination tasks required of fast growing organization. The ideal candidate will be able to handle multi-tasking, be reliable and punctual, posses good priority setting skills for both internal and external demands. They will have a supportive and business-like manner in dealing with customers, vendors and other MathWorks operations. Internally, they will support the varied request and prioritize items for coordinating the daily operational flow of a sales office. They will be able to take direction and have a good, supportive attitude doing tasks required for overall office support and traditional administrative duties.

Responsibilities

Specific duties would be:
• Manage incoming telephone calls from external customers supporting the switchboard
• Public/On-Site training coordination
• Facilitate the travel, logistical and hotel requirements for both internal and external visitors to The MathWorks Benelux’s office.
• Coordinate the inventory and ordering of office supplies and kitchen requirements
• Support the distribution of both incoming and outgoing postal and email enquiries.
• Welcome visitors and guests
• Assist in preparing meeting rooms for functions
• Support administrative duties such as tea breaks, lunches etc. for The MathWorks Benelux’s training center
• Support the finance and operations team from time to time in varied tasks such as processing supplier invoices, payments and receipts in JDE, inventory, filing, collections, etc.
• Support the customer service function and all Customer Service related tasks



Qualifications

Qualifications:
• HBO degree/University degree preferred
• experience with telephone switching and routing software (Nortel, Siemens, etc)
• Excellent demand of dutch language skills in writing and verbally
• excellent skills in spoken and written English
• Prior experience handling direct customer inquiries both via phone and email
• Experience with Microsoft Office
• first experience with Siebel preferable
• experience in B2B "high energy level"
• Professional phone manner
• Professional and positive Attitude
• A willingness to work extended hours at times to coordinate visits and off-hour business items
In addition to the above duties and responsibilities, the job holder is required to perform other duties assigned by their manager from time to time.
